This policy explains what information we collect when you book bays, buy gift cards, rent lockers, manage your guest account, or use our staff tools — and how we use it.
1. Information we collect
- Account & contact: name, email, phone number, and login credentials you provide.
- Bookings & purchases: reservation details, gift card and locker orders, waivers, and related history.
- Payments: card payments are processed by Square. We do not store full card numbers on our servers.
- Messages: SMS/email notifications and replies related to your bookings (via Twilio and our email provider).
- Staff use: time clock, schedule, payroll, and customer service records for authorized employees.
- Device / app: basic technical logs (for example browser or app type) needed to keep the service reliable and secure.
2. How we use information
- Provide booking, account, gift card, locker, and staff operations features
- Send confirmations, reminders, cancellations, and service messages you request or that are necessary for your reservation
- Process payments and prevent fraud
- Improve venue operations and customer support
- Meet legal and accounting obligations
3. Sharing
We share data only with service providers that help us run the business, for example:
- Square (payments)
- Twilio (SMS)
- Hosting and email infrastructure for hdsportszone.com
We do not sell your personal information.
4. Retention
We keep booking, purchase, and account records as long as needed for operations, customer service, and legal/accounting requirements, then delete or anonymize them when no longer needed.
5. Your choices
- Update account details in My account when available
- Request cancellation of eligible bookings using the link in your confirmation message
- Contact us to correct or delete personal data where applicable
6. Children
Our services are intended for adults arranging play at the venue. We do not knowingly collect personal information from children under 13.
7. Security
We use industry-standard safeguards (HTTPS, access controls, and vetted payment processors). No method of transmission is 100% secure.
